SafeVault: secure document management and verification

Most people do not lose important documents. They lose track of them. SafeVault is built for the records that matter most, and for knowing at any moment what you hold, what is missing, and what is about to expire.

What SafeVault does

SafeVault is organized around three parts.

Vaults

Vaults hold the records themselves, with permission controls that decide who can see what, and an activity history that shows every action taken on a document.

DocIQ

DocIQ reads what is inside those records. It classifies each document, pulls out the information that matters, and flags where something does not match or is missing.

Flows

Flows handles what happens next. Renewal dates, expiry reminders, requests for the documents that have not arrived yet, and sharing with the people who need them.

Who SafeVault is for

SafeVault is used by individuals and families keeping personal and financial records in one place, and by professional firms — accountants, tax preparers, financial advisors, lenders and attorneys — who hold and exchange documents on behalf of their clients.

Two ways to use SafeVault

The same platform serves two different jobs.

Personal vaults

Individuals and families store their own records, control who can see each one, and get reminders before anything expires. Everything stays in one place rather than scattered across email and folders.

Provider portal

Professional firms manage client engagements through a separate provider dashboard. Documents are requested, tracked and reviewed against each engagement, with permissioned sharing and a full audit history. Firms apply to join the provider network and are approved before going live.

How SafeVault works

Everything in one place
01

Upload once, and the vault does the sorting

Add a document and SafeVault reads it. It works out what the document is, pulls out the fields that matter, and files it where it belongs. A W-2 becomes searchable by employer and year without anyone naming the file.

02

Find it the way you would ask for it

Search works in plain language. Asking for a last W-2 returns the W-2 itself, not a folder that might contain it.

03

Keep the household separate

Family profiles keep each person's records apart. A child's school records and a parent's tax documents live in the same vault without living in the same pile.

04

See what is missing

SafeVault compares what it holds against what it would expect and shows what has not arrived. Missing documents surface before someone needs them, rather than during the week they are due.

05

Share exactly what was asked for

When an accountant asks for a document, sharing it takes one action and covers that document only. Every share is recorded as a consent, which can be reviewed and withdrawn.

06

Check who saw what

An activity feed records every action taken on every record — who opened it, who shared it, and when. Nothing has to be reconstructed afterwards.

How SafeVault fits the AmitaSoft platform

SafeVault is where records live. CliQloan draws on the same document layer, so a record verified once does not have to be collected again for the next workflow.

Answers at a glance

Common questions about SafeVault

What kinds of documents can SafeVault hold?

SafeVault holds tax forms, insurance records, identity and government documents, financial statements, and medical and school records. It is built for anything you would keep a copy of and later need to find.

What happens when someone asks me for a document?

You share that document, and only that document. SafeVault records each share as a consent, which you can review or withdraw at any time.

Does SafeVault read what is inside my documents?

Yes. SafeVault classifies each document and extracts the fields inside it. That is what makes records searchable, reusable, and checkable against what is missing.

Can a whole household use one vault?

Yes. Family profiles keep each person's records separate inside the same account, so a child's documents and a parent's documents do not mix.

How do professional firms use SafeVault?

Professional firms use the SafeVault provider portal, a separate dashboard for accountants, tax preparers, financial advisors, lenders and attorneys managing client documents. Firms apply and are approved before going live.
