Guided intake
Clients answer questions relevant to their own situation rather than working through a standard checklist. Each answer shapes what comes next, so a straightforward return does not collect the questions a complicated one needs.

Filing season does not break because the returns are hard. It breaks because forty clients are each at a different point in the same process, and the only record of where they are is somebody's inbox. TaxFlo runs the engagement, not just the documents.
Four things carry most of the work.
Clients answer questions relevant to their own situation rather than working through a standard checklist. Each answer shapes what comes next, so a straightforward return does not collect the questions a complicated one needs.
An engagement starts from last year rather than from a blank list. Where a document is already held, TaxFlo suggests reusing it instead of asking the client to send it again.
Every suggestion the system makes goes to the preparer to approve, change or override before it counts. Corrections are logged, so the firm's own way of working shapes what gets suggested next time.
Each engagement shows what has arrived, what is still outstanding, and how close the file is to ready — so the answer to "can we start this one?" does not require opening it.
TaxFlo is built for CPA firms and tax preparers managing client engagements through the season, particularly firms whose document collection currently runs on email and shared folders. Firm owners, preparers and support staff each work in the same engagement rather than in separate threads.
Inside the product

Every client has an engagement rather than a folder. It holds the documents requested, what has arrived, the questions still outstanding, and the conversation — in one place instead of spread across a thread.
TaxFlo looks at what the client already holds and offers it. If last year's W-2 is in their vault, it appears in the engagement as a suggestion. The preparer accepts it and it is attached. The client is never asked for it.

Intake adapts as it goes. Prior-year information and each answer shape what is asked next, so a straightforward return does not collect the questions a complicated one needs. In one certified returning-client scenario, that reduced the intake from 16 questions to 4.
When something does not line up — a document belonging to a different taxpayer, a figure that does not match — it is flagged in the documents list rather than discovered halfway through review.
Every suggestion goes to the preparer to approve, change or override. Overrides are logged, so the way a firm actually works shapes what gets suggested the following season.

Each engagement shows how complete it is and what is still outstanding. The answer to whether a return can be started does not require opening it.
The finished return is uploaded to the engagement and marked as filed. The engagement closes with its full history intact.
TaxFlo is built on SafeVault's document layer and is delivered through the SafeVault provider portal. A record already held in a client's vault can be reused for the next engagement without being collected again.
Answers at a glance
No. TaxFlo runs the client engagement — intake, document collection, review and delivery. The return itself is prepared and filed the way your firm does it today, and the finished return is uploaded back into the engagement.
No. TaxFlo suggests which documents to reuse, which questions apply, and where something does not match. Every suggestion goes to the preparer to approve, change or override before it counts for anything.
Clients work through a guided sequence inside their own engagement, showing what has been requested and what is still outstanding. They upload against the request rather than replying to an email thread.
TaxFlo logs the override. Those recorded decisions shape what the system suggests for that firm afterwards, so the way your firm works is reflected back rather than overwritten.
Yes. Firm owners, preparers and support staff work inside the same engagement with roles appropriate to each, rather than passing files between separate inboxes.
